Screenshots, PDFs and chat quotes: what counts?
Your quote came as a screenshot or a chat message and you wonder if it is enough.
A chat message, a screenshot and a PDF can all show a price, but they are not equal as proof. A PDF issued by a named seller with a date and a validity line is the strongest of the three. A chat message or screenshot is a starting point, and you should turn it into one confirmed written summary before you pay.
This guide sits inside our island booking checklist. Once you have the summary, reading an island quotation line by line shows how to check it.
What does each format show and leave out?
| Format | What it shows | What it can leave out |
|---|---|---|
| Chat message | The words used and the time sent | Full terms, the seller’s legal name, a validity date |
| Screenshot | A moment in a chat or on a web page | What came before and after, edits, cropped lines |
| PDF or email | A formal layout, usually a name and date | Changes made after it was issued |
| Voice note or call | Tone and quick answers | Almost everything that you can point to later |
None of these is automatically binding on either side. What matters is whether the key lines are clear, dated and sent by the person who can actually sell you the trip.
How do you turn a chat quote into a confirmed one?
Send one short message that asks the seller to put it all in a single place:
- Please send a summary of the quote with dates, number of adults and children, room, meals, boat transfers, fees and the total.
- Please state the date until which the price is valid.
- Please state your company name and who receives the payment.
- I will reply “confirmed” once I have checked the summary.
When the seller sends it, read it line by line, then reply with the word “confirmed” and the date. That reply is a clear step in your own record.
How should you save what you receive?
Keep three things together in one folder on your phone or in your email:
- The quote itself, as a PDF or a full-page screenshot with the date visible.
- Any chat that added or changed a detail, saved as a screenshot in order.
- The payment receipt, once you pay.
Name each file with the date and the seller’s name, so you can find it months later. If something goes wrong, a clear folder is far more useful than a long search through old chats. Our guide on documenting a cancellation for insurance claims shows why this habit matters later.
What if the quote and the website do not match?
Sometimes the price on a website is different from the price in your chat. Screenshot both with the date visible and ask the seller which one applies to your dates.
Do not assume the lower number wins. Ask for the answer in writing and keep it with the rest.
A better fit if…
A written summary suits you if:
- the quote came as several short messages across a day.
- more than one person is paying and everyone needs to see the same figures.
- you are comparing two sellers and the layouts are different.
You can leave it as chat only for a very small day activity with a known seller, where the price is low and nothing is paid in advance. Even then, ask for a total and a time in one message.
What should you do next?
Do not pay a deposit on a screenshot alone. Ask for the summary, read it, confirm it, and then check payment methods and safety before you transfer anything.
Common questions
Is a WhatsApp message a valid quote?
It can be useful evidence of what was said, but it is easy to leave gaps in a chat. Ask the seller to send one summary with dates, people, room, meals, boat, fees, total and validity date, and reply to confirm it. Then both sides are looking at the same page.
Is a PDF better than a screenshot?
A PDF is easier to read, store and search, and it usually shows who issued it. A screenshot can be cropped or out of date. Neither is automatically binding, so check the name, the date and the validity line either way.
Should I screenshot the website price too?
Yes, if a price on a website is what made you decide. Capture the full page with the date and time visible, because online prices change. Keep it with your other records and mention it when you ask for a written quote.
What if the seller only gives a verbal quote?
Ask for it in writing before you pay. A phone call is hard to prove later. A short email or message that repeats the figures and asks "please confirm" is enough to start a written record.
