What details to send for an island quotation

You want a trustworthy quotation but are unsure what to put in your first message.

To get an accurate island quotation in one reply, send eight details. They are the islands you are considering, your dates, the number of nights, who is travelling with their ages, your starting point, room preference, meal preference and budget range. Each one changes the price or the boat plan, and a missing one is a common reason a quotation comes back vague or needs a second round.

Use the list below as your first message. If you are still choosing an island, start with how to choose a Malaysian island and come back.

Which eight details does an agency need?

Send these in one message, in this order:

  1. Island or islands you are considering, and your first and second choice.
  2. Travel dates, and whether you can move by a day or two.
  3. Number of nights.
  4. Adults and children, with the child’s age on the travel date.
  5. Where you start from, such as your town or airport.
  6. Room preference, such as twin beds or a family room.
  7. Meal preference, such as breakfast only or all meals.
  8. Budget range and anything that matters most.

It is fine if you cannot answer every line. Write what you know and say what you do not.

Why does each detail change the price?

Dates matter because school holidays and long weekends can carry a peak surcharge, which is an extra amount added on school holidays, public holidays and festive weekends. Nights matter because package length changes the room and boat plan.

Ages matter for beds and fees. A marine park conservation fee is reported as RM30 for an adult and RM15 for a child aged 6 to 12 without a MyKad, and RM5 and RM2 with one [1]. Confirm these amounts with the operator.

Your starting point decides the road or flight leg and the right jetty. Our guide to the journey in four legs shows why.

What about the season?

Say your month early. Most east-coast resorts close during the northeast monsoon, roughly November to February or March, and exact dates vary by resort and year [2]. If your dates fall in that window, the agency can tell you what is open.

What should you not send yet?

A first message needs names and ages for planning, not full identity details. Keep your MyKad number, payment details and passwords out of the first message. Malaysia’s personal data law, the PDPA (Personal Data Protection Act), has been in force since 2013 and has seven principles [3].

It is fair to ask how an agency will use and keep your details before you send more.

A message you can copy

Here is a simple template for WhatsApp:

Hi, I am planning an island trip. Island options: ___. Dates: ___ (flexible by ___ days). Nights: ___. Group: ___ adults, ___ children (ages ___). Starting from: ___. Rooms: ___. Meals: ___. Budget: ___. Anything important: ___.

Paste it into WhatsApp and fill in the blanks.

What happens after you send it?

You should receive a written quotation. Read it with reading an island quotation line by line, and if you have two, use two similar island quotations. Use the cost calculator to check the total.

If the reply is missing a line, ask for it. A complete quotation names the room, meals, boat, fees and cancellation terms. If you want to reach us directly, our contact page lists the options.

Copy the list below into WhatsApp with your own answers, and we will help you fill any gaps so the first quotation you get back is clear and complete.

Common questions

Do I need to know my exact dates before I ask?

Exact dates help most, but a first and second choice also work. Say whether you can move by a day or two, because the price can change on weekends and school holidays. If you are still deciding, tell us the month and we will help you narrow it.

Should I send my MyKad number?

Not in a first message. A quotation needs names and ages only for room and fee planning, and ID details can wait until you decide to book. Send only what the agency needs for the quote, and ask how they keep your data.

Why do you ask for children's ages?

Ages affect room rules, bed counts, meal rates and marine park fees. A child aged 6 to 12 is reported to pay a different fee from an adult, so the age matters. Give the age on the travel date, not their birth year.

What if I do not have a budget yet?

That is fine. Give a rough range or say what matters most, such as a quiet beach, snorkelling or a short boat ride. Our cost calculator can help you set a range before you ask.
