Documenting a cancellation for insurance claims

A boat has been cancelled and you want your evidence ready for a travel insurance claim.

Save a written statement of the cancellation, your booking, every receipt and a time log, and ask your insurer before you travel which documents it requires. We do not know your insurer’s rules, so we cannot promise a claim will succeed. What we can do is help you gather the evidence that a claim handler is likely to ask for, while it is still easy to get.

For the full question list before you pay, read what to ask about cancelled boat transfers. For the policy side, see travel insurance and missed boat connections.

What goes in the evidence pack?

Collect seven items, and note why each matters.

ItemWhy it helps
Booking confirmation and termsShows what you bought
Written statement of the cancellationShows the boat did not sail
Dated screenshot of the sea warningShows conditions on the day
Receipts for extra costsShows what you paid
Messages with the resort and operatorShows who said what
Flight or onward ticket changesShows the knock-on cost
Your policy number and claim lineSaves time when you call

The sea warning screenshot is useful because the forecaster publishes warnings and updates them about every three hours [1]. It does not replace the operator’s own statement.

How do you keep a time log?

Write a line each time something happens. A simple format works:

  1. Time, date and who you spoke to.
  2. What they said, in your words.
  3. What they promised to do and by when.
  4. What you did next.

For example: “10:15, called the resort desk, told the 10:00 boat was cancelled, promised a call by noon, I messaged back at 12:20.” Plain facts beat memory later. Keep it in your phone notes, and add the screenshots to the same folder.

Whose insurance covers what?

Passenger insurance for boats is required by law, according to a 2017 report [2]. That protects people on board in case of an incident. It does not cover the cost of your cancelled holiday, and it should not be mistaken for your own travel policy.

Your own travel policy is the one to check. Read insurance in island packages: what is and is not covered, insurance as an add-on and cancellation waiver add-ons: do they pay off.

What should you ask your insurer before you travel?

  1. Is a boat cancelled for weather or sea conditions covered?
  2. Is a missed flight caused by a cancelled boat covered?
  3. What proof do you need, and from whom?
  4. How many days after the event must I claim?
  5. Are there exclusions for events that could be foreseen, such as the monsoon season?

Write the answers beside your policy number. If the insurer says it depends, ask for the clause number.

What if the seller will not refund?

Start in writing with the terms and the cancellation message. A consumer claims tribunal hears claims up to RM50,000 within three years of the claim arising, though personal injury and some sectors are excluded [3]. Our guide on keeping receipts and screenshots for a transfer dispute shows what a dispute file looks like, and who pays when a connection fails sorts out responsibility.

A better fit if…

Building this pack suits you if you travel in or near the monsoon, or on a fixed flight. It may feel like a lot if you travel in a calm season with a flexible ticket. Even then, a screenshot and a time log cost nothing and take two minutes.

Tell us your insurer and your boat day, and we will help you build the question list and evidence pack before you leave, so a claim starts well.

Common questions

What proof do insurers usually want for a cancelled boat?

We do not know your insurer's rules, so we cannot list what it needs. Common sense suggests a written statement of the cancellation from the operator or resort, your booking, receipts and a record of times. Ask your insurer before you travel which documents it requires.

Should I screenshot the sea warning?

Yes, it is a useful record. The forecaster publishes strong-wind and rough-sea warnings, updated about every three hours. A dated screenshot shows what was published when the boat was cancelled. It does not replace the operator's written statement.

Is the boat's passenger insurance my travel insurance?

No. Passenger insurance for boats is required by law, according to a 2017 report, and it protects people on board. It does not cover your holiday costs or your flight. Check your own travel policy for cancelled boats and missed connections.

How long do I have to claim?

Insurers set their own time limits, often shorter than you expect, and we do not know yours. Ask when you buy the policy and write the deadline down. For a money dispute with a seller, a consumer tribunal has a three-year limit from when the claim arose.
