Currency, deposit and balance terms to confirm
You are about to pay a deposit and want to be sure of the terms first.
Before you pay a deposit, confirm six things in writing. They are the currency, the deposit amount, what the deposit secures, the balance amount, the balance due date and the payee.
If any one is vague, ask again. Clear answers now prevent most payment misunderstandings later.
This page is part of our island booking checklist. For typical ranges and timing, read deposit sizes and balance due dates. For how to pay safely, see payment methods and safety.
What are the six terms to confirm?
Put these into a single message and ask for the answers in one reply:
- Currency: in which currency is the total, and what is the total in ringgit?
- Deposit amount: how much, and is it part of the total?
- What the deposit secures: the room, the dates, boat seats, permits or all of these?
- Balance amount: the total minus the deposit, with any fees added.
- Balance due date: the exact day, and the time it must reach the seller.
- Payee: the name on the account that receives each payment.
Compare the name in point six with the name on the quote. If they differ, ask why before you transfer anything.
What does a real schedule look like?
Sabah Parks publishes a schedule for one kind of booking that is a useful example. For Sipadan dive permits, operators book up to six months ahead, pay a half deposit, pay in full two weeks before, and the cancellation terms change at the two-week point [1].
That rule is for an operator buying a permit, not for your own package. It still shows the shape: a deposit, a full-payment date and a cancellation line that moves with the calendar.
Use that shape to write your own timeline. Count backward from your check-in date, mark the balance date, then mark the deposit date, and note the cancellation date next to each. Our guide on quote validity dates and price holds explains the dates on the quote itself.
How do you check the sums?
Do the arithmetic with simple numbers before you pay. Suppose a total is 3,000 and the seller asks for a third as a deposit. The deposit is 1,000 and the balance is 2,000.
Now ask three follow-ups. Does the 2,000 include the fees that are paid separately? Is the balance due in one payment or two?
Are bank transfer charges added? If the seller adds a card surcharge, ask for the amount in writing before choosing a payment method.
What changes if the plan changes?
A deposit sits in the middle of two questions: what you can cancel and what you can move. Confirm these before you pay, not after:
- Can the deposit be moved to another date, and is there a fee?
- Can the name on the booking be changed?
- Is the deposit refundable if the boat does not sail?
- Is it refunded in cash or kept as credit?
Our guides on name and date changes after booking and cancellation and refund questions go through each.
A better fit if…
Confirming terms in a single message suits you if:
- you are paying by bank transfer to a company you have not used before.
- you are collecting money from friends and need to explain each amount.
- the quote lists a deposit but not a balance date.
If you are paying for a group, our guide on collecting deposits from friends helps you set the rules before the first payment.
What should you do next?
Send the six questions, wait for a written reply, and save it with the quote. Pay only when the payee, the amount and the date all match what you were told. Keep each receipt in the same folder.
Common questions
What currency should an island quote be in?
For a trip within Malaysia, most quotes are in ringgit. If a quote uses another currency, ask which rate applies, who sets it, and whether your bank adds a conversion charge. Ask for the total in ringgit as well, so you know what leaves your account.
What does a deposit usually secure?
A deposit usually holds the room and the dates. Ask what it does not secure, for example boat seats, permits or a specific room. Ask whether it counts toward the total, and whether it is refundable, partly refundable or not at all.
When is the balance usually due?
It varies by seller and by season, so there is no single answer. Ask for the exact due date in writing. Our guide on typical deposit sizes and balance dates shows how to compare what you are offered.
What if I pay in instalments?
Ask for a written schedule that shows each amount, each date and what happens if one is late. Keep the schedule with your receipts, and confirm that each payment is recorded against your booking.
