Quote validity dates and price holds

You like a quote and want to know how long you can take to decide.

A quote date tells you when the seller wrote the quote. A validity date tells you how long the price and the rooms are meant to stand.

A price hold is a separate promise to keep one of them aside for you for a short while. Check which of the three your document actually gives you, because only the last one stops the clock.

This page belongs to our island booking checklist. If you are still reading the quote itself, start with reading an island quotation line by line.

What is the difference between a quote date, a validity date and a hold?

The three sound alike but do different jobs.

TermWhat it tells youWhat to ask
Quote dateWhen the seller wrote itIs this the latest version?
Validity dateThe last day the price and availability standWhat changes after this date?
Price holdA short reservation of price or roomIs it in writing, with an end time?

If a quote has no validity date at all, treat the price as open to change and ask for a date in writing.

Why do dates matter more on an island trip?

Island rooms and boat seats are limited, and a room can go to someone else while you are deciding. Peak weeks such as school breaks fill first.

For example, one source reports the 2026 second school term break as 28 August to 5 September for one group of states and 29 August to 6 September for another [1]. Sources disagree on some groups, so check the official schedule for your own state.

Some prices also depend on third parties. Activities that need a permit follow their own rules. Sabah Parks takes Sipadan permit bookings from operators up to six months ahead, with a half deposit and full payment two weeks before [2].

Its cancellation terms change at the two-week mark. If your package includes a permit, the operator’s own dates may be tighter than the resort’s.

How do you count back to a decision date?

Work backward from the day you travel, not forward from the day you received the quote.

  1. Write down the check-in date.
  2. Subtract the balance due date the seller gave you.
  3. Subtract the deposit deadline, which comes earlier.
  4. Subtract a few days to talk to your group.
  5. The result is the latest day you should have the quote in hand.

If that day is already past, you are deciding late, and a hold or an extension matters more. Our guide on deposit sizes and balance due dates covers the two payment dates.

What should you ask when you need more time?

Write one short message, so the reply can be saved with the quote:

  • Please confirm the quote is valid until a specific date and time.
  • Can you hold this room and price until [date], and will you confirm that in writing?
  • If I accept after the validity date, what changes?
  • Is the price fixed once I pay the deposit?
  • If I ask for a hold, does that affect the cancellation terms?

Keep the answers where you keep the quote. Our guide on screenshots, PDFs and chat quotes explains how to store them.

A better fit if…

Asking for a hold suits you if:

  • your group needs a few days to agree on dates.
  • you are waiting for leave approval or flight prices.
  • you want to compare against a second quote first.

Accepting quickly may suit you better if the dates are fixed and the room is one you already want. In that case, read the cancellation terms first, using our cancellation and refund questions.

What should you do next?

Put the validity date in your phone calendar with a reminder two days earlier. If you still need time, send the short message above rather than letting the date pass.

If your quote is about to expire and you still have questions, send us the date and the lines you are unsure about, and we will help you ask for a short extension.

Common questions

What does "valid until" on a quote mean?

It is the last day the seller says the price and availability stand if you accept. After that date the seller may change either one. Ask what happens if you accept one day late, because some sellers will honour it and some will not.

Is a price hold the same as a booking?

No. A hold, if the seller offers one, keeps a price or a room for a short time without a confirmed booking. Ask for the hold in writing, with the end date and time, and ask whether a deposit turns it into a booking.

Can the price change after I pay a deposit?

That depends on the terms you accepted. Ask whether the price is fixed once the deposit is received, and whether fuel, tax or fee changes can be added later. Get the answer in writing before you transfer money.

How long should I ask a seller to hold a price?

Ask for as long as you genuinely need to talk to your group, for example two to three working days. Give a reason and a date. A seller who says no is telling you something useful about how flexible the booking will be.
